Privacy by role

Avelok is built around role-based access. Students, parents, coaches, organizers, club administrators and platform operators should not see the same information unless the permission model allows it.

1. Responsible entity

Avelok is responsible for personal information processed through the Web app, mobile apps, mini program, AI Chat, Coach Studio, Club OS, events, payments and related services. Mainland China services are operated by 上海跃见纪元科技有限公司.

If you use Avelok through a club, coach, organizer or pilot partner, that organization may also be responsible for how it invites users, configures workspaces and uses exported or shared records.

2. Information we collect

We collect information you provide, information generated by use of the service and information received from authorized integrations or platform providers.

Account and contact data such as name, email, phone, avatar, login method, role and authentication identifiers.

Sports profile, coaching, student, parent, lesson, attendance, package, progress, event and club operation records.

Chat messages, AI prompts, attachments, voice transcripts, videos, PDFs, notes, feedback and support messages.

Payment status, order, invoice request, refund request, device, log, cookie, approximate location and security data.

3. How we use information

We use information to provide, secure, maintain and improve Avelok, including account access, permissions, AI memory, training records, parent updates, event operations, payments, analytics, support and compliance.

We may use aggregated or de-identified information to understand quality, adoption, reliability, safety and market needs.

4. AI and memory processing

AI features may process prompts, uploaded content, conversation history, structured facts, lesson context, source references and model outputs to generate responses or workflow suggestions.

Depending on the feature, you may be able to view, correct, hide, delete or provide feedback on memory items. Avoid submitting sensitive information unrelated to the feature purpose.

6. Cookies and local storage

Avelok may use necessary cookies, local storage and similar technologies to keep you signed in, remember preferences, protect accounts, measure service reliability and understand product usage.

Where required by local law, optional analytics or marketing technologies will be disclosed and controlled through consent or browser settings. Blocking necessary storage may affect login, language, security or product workflows.

7. Retention, security, rights and minors

We keep information as long as needed for service delivery, accurate records, safety, audit, disputes, compliance and agreement enforcement.

We use reasonable safeguards such as access controls, authentication, encryption in transit, logs, backup controls and role-based permissions.

Depending on your location, you may have rights to access, correct, delete, export, restrict, object or withdraw consent. Minors should use Avelok with appropriate parent or guardian consent where required by local law.
